Hiring a commercial contractor is one of the most consequential decisions you will make in your build-out process. The wrong choice leads to cost overruns, blown timelines, and months of frustration. The right choice means your space gets built correctly, on schedule, and within budget. Here are five questions that help you separate the good contractors from the ones who will cause problems.
1. Have You Done This Type of Build-Out Before?
Commercial construction is not one-size-fits-all. A contractor who builds restaurants is not automatically qualified to build a dental office, and someone who frames houses on the weekends is not the right fit for a 5,000 square foot office renovation. Ask for specific examples of projects similar to yours. A good contractor will be able to describe the challenges of your particular project type without hesitation, because they have solved those problems before.
2. Are Your Subcontractors Licensed and Insured?
Most commercial build-outs involve subcontractors for electrical, plumbing, HVAC, and other specialty work. The general contractor you hire is responsible for managing those subs, but you should know who they are. Ask whether the subs are licensed, carry their own insurance, and have a track record of working with this contractor. Established relationships between a GC and their subs make projects run smoother. A contractor who is scrambling to find subs for your project is a red flag.
3. How Do You Handle Scope Changes?
Scope changes happen on almost every project. Maybe you decide mid-build that you want to add a break room, or the building owner requires changes you did not anticipate. What matters is how the contractor handles it. You want a clear change order process: the contractor documents the change, provides a cost and timeline impact, and gets your written approval before proceeding. If a contractor cannot explain their change order process clearly, expect surprises on your final invoice.
4. What Does Your Project Management Process Look Like?
You need to know how the contractor communicates and tracks progress. Will you have a dedicated project manager? How often will you get updates? Can you visit the site? What tools do they use to keep the project on track? The best contractors are proactive communicators. They tell you about problems before you discover them yourself, and they present solutions alongside the bad news. If a contractor's answer to this question is vague, their project management probably is too.
5. Can You Provide References From Similar Projects?
References are the closest thing to a guarantee in this industry. Ask for two or three references from projects that are similar in scope and type to yours, and then actually call them. Ask those references whether the project came in on time and on budget, how the contractor handled problems, and whether they would hire them again. A contractor who hesitates to provide references is telling you something important.
